P&L Requirements for Bank Statement Loans: What Underwriters Actually Check
On bank statement and other non-QM files, the P&L isn't a formality — it's a document underwriting reads against the statements line by line. Files stall when the P&L fails one of a few predictable checks. Here's what to get right the first time.
Period match
The P&L should cover the same months as the statements in the file — commonly a trailing 12 or 24 months, not a calendar year. A mismatched period is among the most common P&L conditions, and it's entirely preventable at preparation time.
Deposit tolerance
Many programs compare the revenue on the P&L to eligible deposits on the statements and expect them to reconcile within a stated tolerance. A P&L built directly from the statements — rather than from the borrower's memory or a tax-return figure — reconciles by construction. This is also why transfers between accounts, loan proceeds, and owner contributions must be excluded from revenue: they inflate the P&L past what deposits support.
Expense reasonableness
Underwriters sanity-check expenses against the business type. A trucking company showing almost no fuel expense, or a retailer with no cost of goods, invites questions regardless of what the borrower actually spent. Expenses categorized along Schedule C lines — the framework underwriters already know from tax returns — make the reasonableness review fast instead of adversarial.
Separation of owner activity
Owner draws are not business expenses, and owner deposits are not revenue. A P&L that mixes them misstates income in one direction or the other. Clean separation of draws, contributions, and inter-account transfers is one of the clearest signals that a P&L was prepared carefully.
Preparer and attestation requirements
Programs vary on who may prepare the P&L — some require a CPA, EA, or licensed tax preparer; others accept a third-party bookkeeper or the borrower with an attestation. Whoever prepares it, underwriters respond well to a P&L that arrives with its backup: the categorized transaction detail behind each line, and a preparer who can be reached when a question comes up. Conditions get cleared in a day instead of a week.
